Refund & Cancellation Policy

London Elite Exams strictly adheres to JCQ regulations and UK law to ensure a secure, transparent, and fair examination environment for all candidates.

1. Overview & Service Commitment

London Elite Exams is an independent candidate entry service. We arrange examination entries and dedicated seats for private candidates at JCQ-registered partner examination centres across London. We do not operate an examination centre ourselves; our service is the arrangement, administration and support of your entry.

Every entry is scheduled for a fixed date set by the awarding body — AQA, Pearson Edexcel, OCR, Cambridge International or WJEC Eduqas. When we register you, we pay the awarding body's entry fee and reserve an examination desk at the partner centre on your behalf. Those commitments are binding on us from the moment they are made and cannot be recovered by us, which is why this policy is built around the awarding body's entry deadlines rather than around notice periods.

By paying for a booking you expressly request that we begin performing the service immediately by placing your entry with the awarding body and partner centre. You acknowledge that, once the entry has been placed, that part of the service has been performed in full and the fee is refundable only as set out in this policy. This policy forms part of our Terms & Conditions and applies to every booking made through londoneliteexams.co.uk, by email or by telephone.

2. Fee & Cancellation Schedule

The outcome of a cancellation depends on the type of entry and on whether the awarding body's standard entry deadline for that series had passed when your written cancellation reached us. The current deadlines for each series are published on our fees page and shown in the booking form before you pay.

  • Refunds are calculated per paper or examination cancelled, not per booking. Papers you keep are unaffected.
  • The administration fee covers the work already carried out on your entry and is not refundable in any circumstance.
  • Optional services that have already been delivered or scheduled — document checks, mock examinations, UCAS support and access-arrangement applications — are not refundable once delivered or once the related application has been submitted.
  • Promotional discounts and referral credits have no cash value and are not refunded.
  • Where a fee has been paid in instalments, the refundable amount is calculated on the total fee for the cancelled paper(s), and any outstanding balance due for retained papers remains payable.

3. Late Entries and November Series Entries

An entry submitted during an awarding body's late or higher-late entry window — including every entry for the November GCSE resit series — is processed with the awarding body immediately on receipt of payment, because the time available to place it is short. These entries are non-refundable and non-transferable from the moment payment is made. The surcharged fee you pay reflects the awarding body's own late fee, which we cannot recover under any circumstances.

4. Medical Emergencies & Documented Extenuating Circumstances

If a candidate is unable to attend an examination paper because of serious illness, injury, hospitalisation or bereavement:

  • Written notice must reach us at info@londoneliteexams.co.uk as soon as possible, and official written evidence — a doctor's certificate, hospital letter or equivalent official document — must be submitted within 3 working days of the missed paper. Evidence received after this point cannot be put to the awarding body.
  • We will assist in submitting an application for JCQ Special Consideration through the partner centre, or in requesting that the candidate be carried forward to the next available series. Both are decided by the awarding body under its own published criteria and at the partner centre's discretion; London Elite Exams cannot guarantee the outcome of either.
  • Special Consideration does not produce a refund. Where an awarding body permits a carry-forward, the candidate pays any difference in fee for the new series together with the deferral handling fee in section 2. Where the awarding body does not permit it, a new entry at the fee then applicable is required.
  • Fees are not refunded on medical grounds, because the awarding body and centre costs have already been incurred on your behalf.

5. Late Arrivals, Missed Papers & Photographic ID

  • Under the JCQ Instructions for Conducting Examinations, a candidate who arrives after the start may be admitted at the centre's discretion but receives no additional time. A candidate who arrives more than one hour after the published start time is a "very late arrival": the centre may refuse admission and, if the candidate is admitted, must report it to the awarding body, which may decline to accept the work.
  • Every candidate must present valid, in-date, government-issued photographic identification (a passport or UK photocard driving licence, or another official photographic document agreed with us in writing before entry) showing the name under which the entry was made. A candidate who cannot do so is refused entry.
  • A missed paper, refused admission, late arrival, transport disruption, incorrect venue, mistaken date or time, or failure to present acceptable identification is non-refundable. Checking the date, time and venue on the Statement of Entry and centre instructions is the candidate's responsibility.
  • Removal from an examination for a breach of JCQ regulations, or a malpractice finding by the awarding body, carries no refund.

6. Post-Results Services & Special Consideration Applications

Reviews of marking (clerical re-checks, reviews of marking and priority reviews), access to scripts, appeals and Special Consideration applications are carried out by the awarding body. The administrative fee we charge for handling such a request, and any processing fee set by the awarding body, is payable in advance and is not refundable regardless of outcome, except where the awarding body itself refunds its fee following a grade change and remits that refund to us.

7. Changes Made by Us

In the rare event that we are unable to provide an entry you have paid for — for example because a partner centre withdraws or the awarding body declines the entry — we will offer an alternative partner centre or series where one is available or, if none is, refund the fee paid for that entry in full. Our liability is limited to the fee paid to us for the affected entry; we are not liable for travel, accommodation, tuition or other costs. Where an examination is cancelled, postponed or relocated by the awarding body or the centre, the awarding body's own contingency arrangements apply.

8. How to Cancel or Request a Refund

  • Send formal written notice to info@londoneliteexams.co.uk from the email address used for the booking, quoting the candidate's full legal name and the booking reference (for example LEE-XXXXX).
  • Verbal, telephone, WhatsApp or social-media requests are not treated as notice. The date and time your email is received is the date of cancellation.
  • We acknowledge every request within 3 working days and confirm the outcome, with a breakdown of any refund, in writing.
  • Approved refunds are returned to the original payment method only, normally within 5–10 business days of our written confirmation. Refunds cannot be paid to a third party.
  • Chargebacks or payment disputes raised without first following this procedure will be contested with the booking record, this policy and the declaration accepted at checkout.

9. General

This policy is governed by the law of England and Wales. Nothing in it limits any right you have under the Consumer Rights Act 2015 or other applicable consumer law that cannot lawfully be excluded. If any provision is found to be unenforceable, the remainder continues to apply. We may update this policy; the version published on this page at the time you pay is the version that applies to your booking.
